Job Description:
The Sales Administrator is responsible for controlling and checking all sales related documentation and the administrative processes that ensure the DC’s financial integrity and compliance, and enable the day-to-day operational efficiency. The Sales administrator will also process commission payments, overtime payments and housekeeping in relation to a DC, i.e ordering groceries, liasing with vendors
Job Responsibilities:
- Ensure that all Route documentation is appropriately completed, filed and signed in line with company policy. Maintain files and documentation in an organized manner.
- Banking, Route Expenses and Petty Cash: process daily, ensure accurate recording and flag any irregularities.
- Sign off of all admin paperwork on a weekly basis to ensure that everything is correct, compliant and done as per requirements.
- Adhere to daily deadlines, policies and procedures – in particular administration, warehousing and deliveries
- Control truck key register and maintain DC branch banking safe key register
- Attend to queries, assist with resolving HHC problems, and escalate issues when necessary.
- Reconcile Stock / Cash & Cheques daily against invoice register and bank statement and process weekly reconciliations including samples and donations
- Initiate and process P2P – purchase orders; capture, confirm, check and file invoices and credit notes – flag any variance.
- Maintain DC Creditors including month end accruals, statement reconciliations and reporting
- Debriefing – ensure POD’s and credit notes meet SOA requirements including monthly credit control claim schedules
- Scan documents (invoices and credit notes) into Laserfische daily
- Reporting: daily, weekly and monthly as required.
- Finance: Accurate payroll completion and submission of monthly commission summary and overtime schedules and opening of accounts for new customers timeously
- Identify and recommend improvements to working procedures in order to enhance efficiency and the working environment.
- Health, Safety, Security and Housekeeping control in area of responsibility.
- Utilise the in-house systems to maximum efficiency and report and follow-up system issues to IT department.
- Train Sales team on relevant policies and procedures and ensure own skills and training remain up-to-date.
Job Requirements:
- Computer literacy essential (Microsoft Excel and Word) with a sound understanding of Excel (worksheets & formulas)
- Good communication skills
- Good inter-personal skills
- Strong administration skills
- Extremely high organization skills and ability to multi-task/prioritize
- Strong sense of urgency and ability to meet deadlines
- Ability to carry out procedures quickly and efficiently with minimal supervision
- High level of attention to detail
- 3 year tertiary qualification essential preferably within Sales or Finance
- Minimum 2 – 3 years experience in an admin, warehouse & distribution environment
- Administration experience with emphasis on debtors and creditors skills
- Sales/Financial/Compliance/Control experience preferred
- Drive for results
- Strong attention to detail, accuracy and dependability
- Able to work to a plan/routine
- Able to work under pressure
