Job Description:
Reporting to the Manager: Finance Shared Services, this role will oversee payroll staff performance, provide guidance, support, identify development needs and manage relationships between Finance Shared Services: Payroll function and all its stakeholders. To ensure that processing and accounting transactions, including managing bank statement loads and group reconciliations are accurate and all set targets are achieved.
Job Responsibilities:
- Ensure that all Finance (Group Payroll) reporting is aligned with standards, guidelines and schedules.
- Responsible for reconciling payroll deductions with General Ledger Account entries.
- Ensure reconciliations within payroll accounts are accurate and timeously in the financial reports of the General Ledger Account entries.
- Responsible for extracting payroll reports, analysing and validating employee and payroll data to ensure that the data on the system is correct.
- Responsible for ensuring accurate and timeously execution of all monthly payroll payments.
- Responsible for reconciling and submitting reports on time to ensure timeous payments and adherence to the relevant legislation requirements (i.e. DMR 128, SARS, PAYE, UIF, Pension, Funds Benefit Society)
- Responsible for running, consolidating and distributing payroll month end reports to the relevant stakeholders.
- Responsible for effectively resolving Payroll payment queries timeously.
- Responsible for liaising with the Group Human Resources Function to communicate and/or action any Payroll changes on the relevant systems.
- Conduct regular compliance checks to ensure adherence to the Finance Function’s processes and controls; request and ensure that team members initiate appropriate master data changes and ensure correct entry of the relevant transactional data in the relevant payroll system.
- Provide direction to the team to ensure on time delivery against monthly payment date schedules.
- Responsible for the implementation of any future Payroll system upgrades aligned to the Group Payroll Function business requirements.
- Responsible for the training and development of subordinates.
- Direct and/or assist in any of the relevant Accounting sub function processes and tasks as allocated by Manager: FSS when required.
- Guide and coach subordinates to promote a culture of continuous improvement of the Payroll Function in alignment with the Group Payroll Function’s business objectives.
- Establish and maintain good working relationships and an effective / sound communication system with the Finance (T&A and Payroll) Function and the operation.
- Take cognisance of and adhere to Company policies, procedures and relevant legislation. Manage and report on non – compliance issues.

Job Requirements:
- National Diploma Payroll Administration (NQF6) and/or Equivalent Financial/ Accounting/ Costing Qualification (NQF6).
- A minimum of 5 years’ experience in a payroll environment.
- Working knowledge of a Computerised Payroll system (e.g. VIP people Payroll).
- Computer Literacy and Microsoft Office Suite (Intermediate).
- 2 years’ supervisory level experience.
- XT900 system experience.
- Good knowledge and preferable working experience of all Petra’s payroll rules and VIP systems.
- Supervisory Development Programme (SDP) or equivalent.
